Mixed-Model Valve Trial Orders: Compare Quotations Before Release

Build the trial order line by line. Freeze each valve specification, separate included tests and documents from exclusions, and keep a controlled reference for repeat orders.

Buyer Support

Build a comparable trial-order scope

Set one baseline per SKU

Give every line an item or SKU reference. State the intended function or service, size and rating exactly as specified, materials, end interface, operation and quantity without converting NPS/DN or Class/PN.

Normalize factory quotations

Compare the written response for the offered configuration, applicable standard and edition, testing, documents, marking, packing, quantity, exclusions and deviations before comparing unit price.

Protect repeat orders

Retain the approved item reference, technical schedule, deviations, marking or packing proof and document scope. Require fresh written review when any controlled field changes.

Mixed-Model RFQ Baseline

Make every trial-order line separately comparable

A range name or model family is not a quotation baseline. Use one controlled line for each SKU so the offered configuration, evidence, exclusions and price refer to the same scope.

1. Identify the market need

  • Define the customer segment or application the SKU is intended to serve
  • Keep destination, applicable tender or regulatory constraints and document language visible
  • Separate stock-range assumptions from a confirmed end-user or project requirement

2. Freeze the technical line

  • Record valve type and function, buyer-specified NPS/DN and Class/PN, materials, end connection and facing, and operation or actuation
  • State medium and design or operating conditions when the line is application-specific
  • Reference the controlled drawing or datasheet and revision when one exists

3. Define evidence and commercial scope

  • Name the applicable product and test standard with edition only when required for that line
  • List required drawings, material or test records, marking, packing and destination labels
  • State quantity, requested delivery basis and any sample or first-article review to be quoted

4. Capture the factory response

  • Require an offered value or a clear comply, deviate, clarify or exclude response for every controlled field
  • Record assumptions that affect configuration, testing, documents, packing, price or lead time
  • Keep the supplier quotation reference and validity with the comparison sheet

Quotation Normalization

Separate compliance, deviations and exclusions

Comply

The offered line matches the stated requirement. Keep the offered model, drawing or schedule reference so the response remains traceable.

Deviate

Describe the proposed alternative and its technical, documentary, commercial and delivery effect. Approval must be explicit and tied to the affected SKU.

Clarify or exclude

An unanswered field is not automatic compliance. Close open assumptions and list excluded tests, documents, accessories, marking or packing before order release.

Trial and Repeat Orders

Keep the approved configuration traceable

Trial-order release

Release only the exact lines whose specifications, deviations, inspection or document scope, marking, packing, quantities and commercial terms have been accepted in writing.

Repeat-order reference

Use the approved item or SKU, drawing or schedule revision, quotation and purchase-order references. Do not rely on a product photo, model family or earlier message alone.

Change control

Require a new written review for a change to materials, trim, components, dimensions, applicable standard, testing, marking, packaging or other controlled fields.

Scope boundary: This page is a distributor RFQ and comparison guide. It does not promise that every Xinghe valve supports every standard, test, document, sample, marking, packing method, MOQ or delivery target. Confirm the exact offered scope for each SKU in the written quotation and purchase order.

Distributor FAQ

Questions to close before a trial order

What should each line of a mixed-model valve RFQ include?

Give each line an item or SKU reference and state valve type or function, size and rating exactly as specified, materials, end connection and facing, operation, service conditions where applicable, required standards and editions, testing and documents, marking or packing, quantity and destination.

Should a distributor convert NPS to DN or Class to PN to compare quotations?

No automatic equivalence should be assumed. Keep the designation used in the buyer requirement and ask the supplier to identify any proposed conversion, substitution or dimensional difference for technical review.

How should tests and documents be compared between quotations?

Compare the named test basis and edition, required tests and acceptance criteria, witness or review points, report type, traceability and submission timing line by line. Record anything not included as an exclusion rather than assuming it will be supplied.

Does an accepted trial order automatically approve future repeat orders?

No. Preserve the approved configuration and order references, then check every repeat order for controlled changes. Sample approval, a catalog image or an earlier quotation does not approve unrecorded material, component, test, marking or packaging changes.

Standards Context

Use the exact applicable scope and edition

These official sources explain procurement controls. They do not establish that a particular Xinghe item complies with a standard.

  • ASME B16.10-2022Installation interchangeability is limited to the specified material, type, size, rating class and end connection.
  • ASME B16.34-2025Official scope covers applicable pressure-temperature ratings, dimensions, materials, examination, testing and marking for covered valve constructions.
  • API Standards PlanDistinguishes published valve standards from editions still in development; verify the edition adopted by the exact quotation and contract.
  • ISO 10007:2017Current configuration-management guidance for products and services; it is guidance, not evidence that a valve complies with a product standard.
